The Bing Overseas Studies Program (BOSP) at Stanford University is seeking qualified candidates for the
Academic Operations Manager
at our center in Berlin, Germany.
The Stanford in Berlin program is comprised of 6 employees who serve an average of 35 students for each of three academic quarters annually, in addition to a summer internship program. The BOSP Berlin center is housed in the historic Haus Cramer in the district Dahlem. Stanford’s very first study abroad program was established in Beutelsbach, Germany in 1958, which moved to Berlin in 1975.
The Academic Operations Manager is responsible for the management and coordination of administration and operations in support of the Bing Overseas Study Program in Berlin. This position performs ongoing reporting and compliance communication both locally and with the California campus, directly supervises staff employees providing academic programs, financial administration, housing, student services, facilities, technology and internship coordination, and coordinates the Berlin language instruction program.
The successful candidate will have responsibility to:
- Work closely with the Director to implement academic and enrichment programs, including to define course schedule and, calendar of activities each quarter.
- Provide timely administrative reporting and compliance as required and maintain ongoing administrative communication with the California campus.
- Working closely with the Director, initiate and/or support special and sponsored projects.
- Analyze and draft periodic reports, report all relevant program metrics, maintain websites and outreach publications.
- Supervise administrative members of the Berlin overseas center. With Director’s input, appraise performance and manage objective setting, workflow & scheduling, vacation timing and professional development of staff.
- In consultation with Director, recruit, train and manage contract language instructors and engineering mentors.
- In coordination with Stanford Language Center, evaluate language program and curriculum requirements based on student needs each quarter; allocate appropriate teaching resources.
- Oversee operational needs and reporting to assure that the facility is well maintained and the center runs smoothly and safely for all concerned.
- In consultation with the Director, oversee implementation of major building and grounds projects, including architect, building and landscape contractors.
QUALIFICATIONS:
Education and Experience
- Advanced university degree plus a minimum of 5 years of academic and administrative management experience in an international educational organization or an equivalent combination of education and relevant work experience. MBA or Ph.D. preferred.
- Prior attendance at an English-speaking University preferred
Knowledge, Skills and Abilities
- Native German language proficiency both oral and written
- An advanced level of fluent English skills, both oral and written to enable effective communications with others whose primary language is English
- Thorough knowledge of German culture, history and business etiquette
- General knowledge of German academic communities
- Demonstrated knowledge and experience in academic administrative management including project coordination, coordination of vendors/third-party services, reporting, and maintenance of facilities
- Strong attention to detail with a high level of accuracy
- Computer proficiency with skill in using Microsoft Word, PowerPoint and Excel; familiarity with PCs and Macs, cloud computing
- Demonstrated ability to establish priorities, manage shifting priorities, and handle numerous time-sensitive projects with multiple deadlines, working independently and collaboratively as appropriate with professional colleagues both within the center and abroad in a team-oriented environment
- Ability to be an effective cross-cultural facilitator for Stanford students abroad
